Registering mail received outside Aconex

Register incoming mail or responses to project mail that you receive by a method other than Aconex project mail, such as emails, letters or faxes.

This ensures that you have a complete and accurate record of all correspondence on the project. You can scan paper-based correspondence and attached the scanned files to the registered mail.

Register an incoming mail

  1. Select your project from the  Project Selector at the top of the page.

  1. Click the Mail button on the Module Menu, and under Actions, click Register Incoming Mail.

  1. Complete the mandatory mail fields, and any other fields as required.
  2. When using Register Mail , you can now register the mail to any project user in any organization. (As from release 12.1) At least one user from your organization must appear either in To, Cc or From field.
  3. To attach the actual correspondence file, or a scanned file to the mail, click the Attach button, and select:

Register a response to a project mail

  1. Select your project from the  Project Selector at the top of the page.

  1. Click the Mail button on the Module Menu, and under Search, click Sent.

  1. Complete one or more search criteria fields.
  2. Click the Search button.

  1. Select the Subject link of the mail the response is to.

  1. Click the Actions button and choose Register a Response.

  1. Complete the mandatory mail fields, and any other fields as required.

  1. To attach the actual correspondence file, or a scanned file to the mail, click the Attach button, and select:

Adding attachments to a mail

  • To see more search criteria fields, click the Show icon.
  • To remove an attachment, click on the icon to the right of the attachment.
  1. Choose the tab for the area you want to search.
  2. Complete search criteria fields, as required.
  3. Click the Search button.

  1. Select the checkbox for each document or project mail you want to attach.

Adding local files to a mail

To remove an attachment, click on the X (cross) icon to the right of the attachment.

  1. Click the Browse button, browse to the file you want to attach, and click the Open button.

  1. To add another file, click the Attach another file link and repeat the above step.
  2. Click the Attach button.
