Managing your tender invitation progress

Find out how to manage the response activity after your tender invitations have been sent .
  1. When logged into BidContender, select the project required from either:
    • Your recent tenders list on the Home tab or
    • From the all active tenders list by clicking on the Show all active tenders link on the Home tab
  1. Click on the Tender invitations tab
  2. When an invitee has responded with a decline to the tender invitation via the system, a red X will be automatically marked against their company name, under the Accepted column 
  3. When an invitee has responded by accepting the tender invitation via the system, a green tick will be automatically marked against their company name, under the Accepted column 
  4. When an invitee has downloaded the documents attached to the received tender invitation, the system will automatically indicate the number of documents downloaded, under the Downloaded column

The Downloaded column indicates whether a portion or the full volume of documents have been downloaded by the tender invitation recipient.

  1. If an invitee has not responded via the system but they have informed you via alternative methods that they decline the invitation, you can mark them as such on their behalf. Search for the organization name and move to the right end of that row. Click on the pencil icon
  1. Click on Mark as declined
  1. If they then inform you that they have changed their mind and now are wanting to accept the tender invitation, you can then click on the pencil icon and click on Mark as accepted 

The red X will change to a green tick in the Accepted column, for that organization.

  1. If an invitee has not responded via the system but they have informed you via alternative methods that they accept the invitation, you can mark them as such on their behalf. Search for the organization name and move to the right end of that row. Click on the pencil icon 
  1. Click on Mark as accepted 
  1. If they then inform you that they have changed their mind and are now wanting to decline the tender invitation, you can then click on the pencil icon
  2. Click on Mark as declined  

The green tick will change to a red X in the Accepted column, for that organization.

  1. When an invitee has sent their quote via the system, a green Quote button will be automatically marked against their organization name under the Quoted column 
  1. If an invitee has sent a Quote outside of BidContender, such as via fax or email, you can mark their organization as Quoted, on their behalf. Search for the organization name and move to the right end of that row. Click on the pencil icon
  1. Click on Mark as quoted
  2. Alternatively, click on Upload a quote to mark the organization as quoted, as well as uploading their quote into BidContender 
  1. If you have incorrectly marked the wrong organization on their behalf, as having quoted – you can reverse it by clicking on the pencil icon and selecting Unmark as quoted

All accepted, declined and quoted responses you mark on behalf of an invitee, will be accessible by both your organization and the invitee organization.
