How do I add users to my project and give them rights?

Before a user can be given access to your project, their company must be added to the project. To add a company to your project:

  1. Click Administration -> Project -> Companies / Users /Rights -> Add / Remove Companies
  2. Select the company required from the Available Companies list and click AddtoAddthem to the Selected Companies list (you can also use Removeif you need toremove any companies)
  3. Go to To add users to your project... below

Note: If the company required does not appear in Available Companies at step 3, they have not been added to theSite. Clickhere for information on how to add them.

To add users to your project:

  1. Click Administration -> Project -> Companies, Users, Rights -> Add / Remove Users
  2. Select the company that the user works for from the dropdown list
  3. Select the user required from the Available Users list and click AddtoAddthem to the Selected Users list (you can also use Removeif you need toremove any users)
  4. You will then need to go to User Rights and ensure they are given the correct rights

To assign Project Rights:

  1. Click Administration -> Project -> Companies, Users, Rights -> User Rights
  2. Select the company in question from the dropdown list
  3. Select the user's name from the list of Available Users
  4. You will see a list of rights - tick any you wish the user to have
  5. Click Update

Available rights are as follows:

  • Project Information Coordinator - users with this right can add companies and users to the project and assign all rights
  • Company Information Coordinator - users with this right can add users from their own company to the project and assign most rights
  • Work Package Administrator - users with this right can edit work package assignments
  • Publish Documents by Proxy - users with this right can publish documents on behalf of other users
  • Maintain Document Status - users with this right can change the status of documents
  • Review / Comment - users with this right can view published documents
  • Publish Documents - users with this right can publish documents
  • Add/Edit Issue Groups - users with this right can create and edit their own issue groups
  • Maintain Document Register Entries - users with this right can edit certain details of published documents
  • Restricted Access- restricts access to published documents. Options available; N/A (no restriction), Client View (Issued to Me) (can only view documents and processitemsissued to you), Client View (Company) (can only view documents and process items issued to you or your company), Tender View (cannot search for documents)

To assign Process Rights:

  1. Click Administration -> Project -> Companies, Users, Rights -> User Rights
  2. Select the company in question from the dropdown list
  3. Select the user's name from the list of Available Users
  4. Select the radio button for Process Rights and click Select
  5. You will see a matrix summarising rights to all processes in use on the project - click on the name of the process you need to assign rights for
  6. Tick the rights required and click Add(or Update)
  7. Repeat steps 5 & 6 for all processes the user needs rights to

Available process rights:

  • Can Read - users with this right can access and respond to published process items
  • Can Read Received Data Only - users with this right can access and respond only to processes issued to them or a user from their company
  • Can Create - users with this right can publish process items
  • Create By Proxy - users with this right can publish process items on behalf of other users - the user they are publishing on behalf of must have Can Create rights to the process
  • Controller - users with this right can act as the controller
  • Shadow Controller - this allows a user to act on behalf of a specific controller in their absence - it is not often used

Note: After you have changed a user's rights, they may need to log off and back onto the Project Control Site for any changes to take effect.

Rights: Only PICs can add companies to projects. PICs and CICs can add users to projects and assign rights, but CICs can only do this for members of their own company. PICs can also batch assign rights to multiple users in a single operation. For more information, click here.
