How do I provide users with access to specific Assets?

If users are given access to one or more Assets, they can use this as an additional method of locating documents and drawings associated with this Asset (see herefor more information on finding documents & drawings using Assets).

To assign users access to Assets:

  1. Click on the Assets tab
  2. Go to Administration -> Members
  3. Select the Company or Companies you want to give access to
  4. Select the User(s) you want to give access to
  5. Select the Assets these users need access to (selecting a Parent Asset will automatically select all of its Child Assets, though these Child Assets can be individually de-selected if required)
  6. Click Update

To remove access to Assets from a user:

  1. Click on the Assets tab
  2. Go to Administration -> Members
  3. Select the Company the user works for
  4. Select the User
  5. The Assets the user has been given access to will be ticked - un-tick those Assets they should not have access to
  6. Click Update
  7. Repeat steps 3 - 6 with other users if required

To remove access to an Asset from multiple users:

  1. Click on the Assets tab
  2. Go to Administration -> Members
  3. Click on By Asset
  4. Select the Asset you want to remove access from
  5. All users with access to this Asset will be listed - tick those from which you want to remove access (you can filter by company if required)
  6. Click Remove
  7. Repeat steps 4 - 6 with other Assets if required

Rights: Only the Assets Administrator can give a user access to Assets.
