Who can see my mail and documents?

Once you have uploaded a document or created an Aconex mail, everyone in your organization can see it.

When you upload a document into Aconex

When you upload your document into Aconex, it can be accessed by anyone who

  • is in your organization, and
  • is working on the project
  • has the appropriate permissions. Permissions are managed in Aconex via user roles.

Nobody outside your organization can see your document until you transmit it

Nobody outside of your organization can see your document until you want them to.

To share your document with another organization, you'll need to transmit it.

Once you've transmitted your document it can be accessed by anyone in the other organization who is using Aconex for this project.

 

If you have a document with sensitive information

Sometimes you need to upload documents into Aconex that should only be accessed by certain people.

In this case, you can upload a confidential document.

Who can see my mail?

When you receive a mail via Aconex, it can be accessed by anyone who

  • is in your organization, and
  • is working on the project
  • has the appropriate permissions. Permissions are managed in Aconex via user roles.

When you write a mail and save it to draft it can also be accessed by these people.

When you send a mail it can also be accessed by anyone in the recipient's organization who:

  • is working on the project
  • has the appropriate permissions.

If you need to send a mail with sensitive information

Sometimes you need to send a mail in Aconex that should only be accessed by certain people. In this case, you should send a confidential mail. Only the people you add as recipients will be able to access the mail. However, some orgs may authorize some of their users to see any confidential mail received by their organization.
