Choosing the mail auto-numbering scheme for project organizations

As the Project Administrator, you can create a default mail auto-numbering scheme for all organizations working on your project.

If appropriate, you can also allow organizations to change the mail auto-numbering scheme for your project.

Tip!

By default, organizations can't change the mail autonumbering scheme for the project.
  1. Click the Setup button on the Module Menu, and under Configuration, click Preferences.
  1. Click the Project tab.
  2. To set the default mail auto-numbering scheme:
  1. Scroll to Project-wide settings, Mail, Use project mail auto-numbering scheme by default for new organizations.
  1. Clear the checkbox in the Use Default Settings column.
  2. Choose the mail auto-numbering scheme used by default for new organizations:
  • Send Order only – numbers only, no prefix. For example, 000001.
  • Mail Type – the auto-number prefix is the project mail type. For example, TYPE-000001 (where TYPE is the project mail type).
  • Mail Type with Organization Prefix – the auto-number has the organization prefix (taken from organization’s abbreviated name), the project mail type and number. For example, ORG-TYPE-001 (where ORG is the organization prefix and TYPE is the project mail type). This is the default.
  • Recipient Organization – project mail to different recipient companies will be sent as separate mail items. For example, ORG-000001 (where ORG is the recipient organization prefix).
  1. To allow organizations to change their mail auto-numbering scheme on this project:
  1. Scroll to Project-wide settings, Mail, Lock project mail auto-numbering scheme across all organizations so only the project owner can change these settings.
     
  1. Clear the checkbox in the Use Default Settings column.
  2. Clear the checkbox in the Setting column.
  1. Click the Save button.
