Create and edit project fields

Customize your metadata input with Project Fields

Project fields are used to assign custom metadata to particular record types for use in Aconex such as Document Types, Mail Forms, Packages, and Field Issues.

When you create a Project Field, it is stored in the Project Field library. A field in this library will be available for use in other areas of Aconex that support project fields.

Project fields can be configured to allow only certain types of data to be entered, strengthening your data integrity. You can restrict a field to text only, date and time or numerical values, for example.

If you need to edit a Project field associated with one or more issue types in Field, we recommend creating a new Project field instead of editing the existing one.

Changes to project fields take up to 30 minutes to be updated in Field.

Create new project fields

  1. Select Setup from the top menu, and choose  Project Settings.

  2. Click on the Project Fields tab, then click Fields.

  1. Click the +New Field button.
  1. The +New Field dialog will appear.

  2. Select a field Type and complete the parameters for your new field as required. 

Tip!

  • Label will be shown to the users inputting information, Choose a sensible, descriptive name to make sure you capture the information you need.
  • Text is a single line (non-expandable) field with a maximum of 60 characters. 
  • Text Area is an expandable field with a 4000 character limit.
  • Avoid entering special characters such as < or > in your document or project fields. 

Add select list values

Values for select lists can be entered manually by clicking the + button

Add values in bulk

If you have lots of values to enter, you can import them.

  1. Click Download Empty Template to download the spreadsheet for entering your values.
  2. Follow the instructions in the spreadsheet to enter your values (and codes if applicable).
  3. Save the spreadsheet on your computer.
  4. Click Import Values and select the spreadsheet for importing.
  1. You'll see your spreadsheet is ready to import. Click Save to start the import process.
  1. You'll see a message confirming the import has started. 
  2. When you see a red notification, the import is complete. 
  3. Click the bell to see if the import was successful. If the import failed you can click the notification to download the log file and view the result column. 

Edit project fields

  1. Select Setup from the top menu, and choose  Project Settings.
  2. Click on the Project Fields tab, then click Fields. You'll see the list of all project fields created on this project.
  3. Click on the Label of the Project Field you want to edit.

The Edit Field dialog will appear. At the top of the dialog, you may see a message that outlines what impact a change (or removal) of this project field will have on other parts of your project.

  1. You can edit any of the Project Field parameters such as Label, and Tooltip. 
  2. Select list values can be edited, moved, or removed.
  3. Click the + button to add more select list values,

Tip!

You can disable the field if it is no longer being used in the project. Disabled fields can be selected from the list and enabled if required.

Edit select list values in bulk

If you have lots of values to add you can import them, or you can import a new set of values to overwrite the existing ones.

  1. Click Download Template to download the spreadsheet for entering your values.
  2. From the options select Download Empty Template or Download Template with values.
  3. Follow the instructions in the spreadsheet to enter your values (and codes if applicable).
  4. Save the spreadsheet on your computer.
  5. Click Import Values.
  6. From the options select Add Values or Override values.

    Warning: Override values will remove existing values for this project field.

  7. Select the spreadsheet for importing.
