Review documents you've received from your supplier

Learn how to review documents or delegate the review task.

When a supplier sends you some or all or the documents you’ve requested you’ll need to either review the documents and approve or reject them, or delegate the review responsibilities to someone else in your organization.

Working with Supplier Docs in a workflow

Projects can often use some workflow-specific settings that affect the Document Status. For example, if a workflow uses a specific Workflow Status Set, documents added it are superseded with a new status that shows they are in a workflow. However, these settings aren't used if you start a workflow as part of Supplier Documents.

  1. Log in to your project.
  2. In the Tasks page you’ll see the new documents listed under Submitted.
  3. Click on the link to open the request.

Now you can:

  • review the document yourself
  • ask someone else in your organization to review the documents
  • start the document review process using a workflow.

Reviewing the document yourself

  1. Click the arrow next to the document.
  2. You can view the document by selecting Open using the arrow in the File column.
  3. Now select the review status for the document. The statuses are chosen by the project owning organization, so the ones you see will depend on your project. However, they might look something like this:
    • Approved - no further action is needed
    • Rejected - the supplier needs to resubmit the document
    • Not reviewed - defer the review until later.

If you're rejecting the document add a comment in the Comments out section for your supplier.

  1. Now, if you:
    • need to review more documents in this package - click the Save and Continue button. Go back to step 1 in this article.
    • have finished reviewing the documents click the Submit Review button.

  1. Make sure any mandatory fields are completed - they're marked in yellow.
  2. Click the Send Transmittal button.

Ask someone else in your organization to review the documents

  1. Select the document/s.
  2. Click the Delegate button.
  1. Type the name of the person in your organization who will be completing the review.
  2. Click OK.

Start the document review process using a workflow

  1. Select the documents.
  2. Click the Start Workflow button.

  1. Click the Next button.

  1. Select a workflow template.
    Not sure what a workflow template is? Find out more about using Workflows [1].
  2. Click Next.
  1. Make sure all the mandatory fields are completed. Mandatory fields are marked in yellow.
  2. Add a note for the reviewers in the Workflow Notes section, if required.
  3. Click Submit.

  1. You should now see the workflow transmittal screen.

When the workflow's complete, go back to Step 4 in Review the document yourself [2] above.
