In the August 2024 release you can import document field values, restrict editing of package numbers, and Lobby Admins can reset passwords and 2SV.

This release is for:
  • Project Admins who need to configure document fields.
  • Lobby Admins who need to reset passwords or 2SV for their users.
  • Anyone who sends lots of packages.
  • Package admins who want to restrict users from editing package numbers.
  • Organizations on AU2 who want to use SSO and/or OAuth. 
  • API developers who want to copy lots of workflow templates.

Documents

What's new

A new look for document fields

  • The document fields screen has a fresh new look so it's easier to use. 
  • Checkboxes are replaced with labels such as Yes or No to make those settings clearer.
  • Click the pencil icon in the Action column to make changes, such as making the field mandatory. Click the tick icon when you've finished editing.
  • Under the three dots menu you can view translations and tooltips, but as before, you'll need to contact us to make changes to them.  
  • To add select list values and codes click the three dots menu and select Configure select list values.
  • You'll see the existing values in a brand new screen. From here, you can add or remove values or import them in bulk.

Import document fields in bulk

  • Project Admins, we've saved you some time. Similar to project fields, now you can import select list values and codes for your document fields.  
  • Enter the values into a spreadsheet and then import it straight in. No more entering values one by one.
  • This is also helpful when setting up a new project.

Packages

What's new

Package transmittal notifications

  • We've saved you some time. Now when you send a package you don't have to wait for it to complete.
  • You can move onto your next task in Aconex and we'll let you know once your package has been sent. 
  • You'll see a red notification on the bell icon once the send process completes. Click it to see if your transmittal was sent or not.

Restrict editing of package numbers

  • Now, Project Admins can prevent packages numbers from being edited on the project.
  • This is helpful for projects that require stricter controls around package numbering.
  • The new project setting applies to all organizations on the project. By default, it allows package numbers to be edited.
  • With the restriction configured, users creating packages will see a message that the package number cannot be changed.
  • You can turn this setting on or off at any time. 
  • Note: As before, packages numbers created by autonumbering cannot be edited regardless of this setting.

Improvements and fixes

We fixed some bugs

  • You let us know the date fields were not sorting correctly in the package documents screen. This has been fixed.
  • We fixed a bug where a package creator had sent a package but was not appearing in the distribution list of the recipient organization.

We fixed some bugs

  • Some of you received an error when closing a reporting period. We've fixed that so you can close them without seeing that pesky error.
  • After filtering the variance analysis report, it now updates automatically without you needing to reload the page.
  • We've made some tweaks to pay item exports so this process runs faster.

A new look for Tasks

  • We added a little space and some color to the Task page. We think it looks neat.
    • You'll see a new color strip at the top of the page. We also made the heading text larger.
    • The project search field is a little larger.
    • We added some space around the task headings such as Unread and Outstanding so they're easier to read. 

Lobby

What's new

Reset two-step verification (2SV) for your users

  • Did someone in your organization get a new phone or accidently remove their authenticator app?
  • Now you can reset 2SV for them so they can set up their new device or app.
  • You no longer need to contact support to do this.
  • You'll find this feature under the More Actions menu after selecting a user. You must be a Lobby Admin.

Send a password reset email for your users

  • Lobby Admins can now send a password reset email to their users.
  • You no longer need to contact support to request this.
  • You'll find this feature under the More Actions menu after selecting a user.

A new Lobby for AU2

  • Users on the AU2 instance of Aconex now have a separate Lobby to link and access their AU2 Aconex accounts.
  • The AU2 Lobby is a different Lobby instance to the commercial Lobby. It's used for projects in Australia which require a higher level of security.
  • You'll find all the same features as the commercial Lobby. However, you can only link, access and manage AU2 Aconex accounts.
  • You can also use SSO and OAuth.

What's new

Create a user faster

  • Thanks to your feedback we've improved the user creation screen so it loads faster. 
  • Additionally, we've made the option to create an Aconex account clearer. If the user already has a Lobby account, you'll now click a button to create an Aconex account for them. Previously this option was displayed as a link, but was not easily seen.

API

What's new

View OAuth clients for your organization.

  • Lobby Admins can now see details of all OAuth clients that are registered for their organization.
  • You'll find the OAuth Clients option from the main Lobby menu.

Copy workflow templates

  • There's a new API to help you copy workflow templates in bulk.
  • By integrating with the workflowTemplates API you no longer have to manually copy templates one by one.

Improvements and fixes

Workflows API now returns reassigned steps

  • Using updated_after in your API request was not returning workflow steps that were reassigned. We've fixed this so all steps are included.
  • Note: This fix only applies to workflow steps that are reassigned after this release.

We'll start the release on August 7 but it depends on what instance your project is on. Some updates will be released later in the 30-day release cycle.

Features are progressively rolled out over a 30-day period, starting from the indicated release dates below. We can’t guarantee a global rollout of features across instances within the same timeframe. Features that are not available on all instances are listed here.
