This month in Aconex you can clear off stuck mail tasks, flatten your markups in the viewer, easily find guest or full users, and manage your organizations integration IDs.

This release is for:
  • Document controllers who need to flatten markups on a document.
  • Everyone who asked to filter by user type in the directory.
  • Those who need to clear off a stuck mail task they've received.
  • Reviewers who need quick access to transmittal information in their workflows.
  • Admins who configure mail footers, custom transmittal attachment views, and mail prefixes.
  • Data analysts who asked for more recent data in their organization reports.

What's new

A new AU1 maintenance timeslot

  • The weekly maintenance period for the AU1 instance is currently Sunday, from 9.00pm.
  • From Thursday, 21 August 2025, we'll change the weekly maintenance period to Thursday, from 11.00pm. The maintenance period will remain at 2 hours.
  • Per Oracle communication policies, should we require an extension to this, we'll communicate in a timely manner. Subscribe to StatusPage to be notified.
  • We believe this change in schedule will optimize the overall user experience and impact significantly fewer users.

Delete searches created by inactive users

  • You can now delete saved searches that were created by a user who has left the project or had their account deactivated.
  • You'll need to have the Edit/delete saved searches permission granted to your user role to perform this action.

Menu label update for opening office files

Bringing back export to XLSX

  • All instances now export to XLSX, however the maximum number of rows remains limited to 25,000 rows. We'll advise in the release notes if we are able to increase this.

Mail

What's new

Mark a mail as 'No Action Required'

  • Sometimes an organization leaves a project without closing out their mail. This can leave you with outstanding mail stuck in your tasks that you're unable to reply to, or close out yourself.
  • The new No Action Required mail status effectively allows you (as the recipient organization) to close off the mail. It will no longer appear as an outstanding task. This option is available to all recipient organizations. Learn more
  • You'll need to have the Mark a mail as No-Action Required permission granted to your user role to perform this action.

    Important: All mobile users must update their mobile app to the latest version to see this new status. If you view the mail thread using an old app version, the mail will still show its original outstanding status.

Improvements and fixes

A new look for mail settings

  • Previously, the settings for mail footers, transmittal attachment views and and auto-numbering schemes were all found in the mail footers section.
  • We've split each of these settings into their own section, so they're easier to find. We've also given them a modern update.
  • The mail footers screen now only shows the footers being used by your organization, instead of a long list of mail types.
  • There's a new screen to manage transmittal attachment views.
  • The new mail auto-numbering screen includes the organizations prefix that was set when your organization was registered. This is handy to keep your mail numbering consistent.

Links to workflow transmittals

  • Thanks to your feedback, you can now add the Workflow Transmittal In and Workflow Transmittal Out columns when searching workflows.
  • This gives you quick access to view the transmittals that were sent for each workflow.

Viewer

What's new

Flatten your markups

  • Many of you asked for the ability to flatten markups on a PDF so they can no longer be moved or edited.
  • Flattening makes markups and stamps a permanent, unchangeable part of the document.
  • Now you can select up to 200 documents from your register and flatten them in one go. 
  • The system will notify you once done so you can continue working while your files are processing. An Excel log file lets you know which files were successfully flattened.
  • Only the latest version of a PDF file that contains markups can be flattened. Learn more

Keep your device updated

  • To ensure you have the best possible experience, we'll now let you know if an update is available for a particular module in the mobile app.
  • You'll see a message to update your app. If the update is mandatory you'll be required to update the app before you can access the module.
  • We encourage you to keep your app updated, giving you access to the latest features, improvements and performance enhancements.

Important: All mobile users must update their mobile app to the latest version to see the new No Action Required mail status. If you view the mail thread using an old app version, the mail will still show its original outstanding status. See the Mail release for this month for more details.

Get timely information about your organization

  • We've increased the data refresh for organization reports so they now show updates up to the last 15 minutes.
  • This applies to the following reports: Hosted Name User, User Details, Assignment & Configuration, Distribution Group Members. Previously these reports showed data within the last 24 hours. 
  • The Project Activity Report will continue to refresh monthly.

Filter full users or guest users

  • There's a new filter in the global and project directories to help you find the right account type for the right user.
  • This is helpful, for example, if you need to send mail to a user but you don't want to accidentally select their guest account.

See projects hidden by Oracle at a glance

  • We've made it easier to see if a project has been hidden by Oracle. This usually occurs when a contract ends.
  • These projects will display the eye icon in red.

  • If you change an Aconex user's login name, it will be reflected in the Lobby.

Integrate with Supplier Documents

Manage your Integration IDs

  • If your organization uses Basic Auth for Aconex integrations, you can now create and manage integration IDs within Aconex.
  • You no longer need to wait for your integration ID to be provisioned. It will be available to use immediately.
  • Org Admins can assign permissions to allow users to manage integration IDs within your organization.

Note: Oracle strongly recommends the use of OAuth over Basic Auth due to the much higher level of security provided by OAuth 2.0. Check out this article which explains the key differences.

We'll gradually release these updates from July 26.

Features are gradually rolled out to each instance over a 30-day period, starting from the indicated dates below. You may not see all updates immediately. We can’t guarantee a global rollout of features across instances within the same timeframe.
