Review and complete test plan activities

Review activities and mark them as completed.

After an assignee marks an activity for review, the reviewers need to complete their reviewer actions (such as a Hold Point). The Manager can then mark the activity as completed.

Once all activities are completed, the test plan can be submitted and closed.

An activity goes through the following statuses:

  • Draft - When a test plan is created, it begins in Draft status. All activities are also in Draft status at this time.
  • Not Started - Once the test plan is activated, the status changes to Not Started. All activities are also set as Not Started.
  • In Progress - Once an activity is started, its status changes to In Progress. The Assignee performs their tasks on the activity and marks it for review.
  • In Review - When marked for review, the status of an activity changes to In Review. The Reviewer(s) can check the task performed by the Assignee. 
  • Complete - After the review is done, the Manager updates the activity to Complete. 

Nota

Test Plans is currently only available to projects on the KSA1 and MEA Aconex instances. We'll continue to develop features based on feedback and announce availability for other Aconex instances at a later date. Make sure you subscribe to Release Highlights to be notified.

View details of an activity

  1. Click an activity to view the details of the task such as the description, acceptance criteria, method, and frequency. 
  2. Click each tab at the top for more information:
  • Reference Documents - Documents to be referred while performing the task.
  • Record Requirements - Evidence (inspections or attachments) to be added after performing the task.
  • Reviewer Actions - Any critical review points with the assigned reviewers.

Review an activity

As the Reviewer for an activity you'll need to check the details of the activity and ensure the work has been completed as expected.

  1. (Optional) You can add supporting records (inspections or attachments as part of your review from by selecting View or Add Records from the three dots menu,. 
  2. When you are ready to complete the review, click the three dots menu and select Review Activity. You'll see all reviewer actions on the activity and their responses, but you can only respond to the actions assigned to you.
  1. Select an outcome for the review. You must add a comment if you choose a negative outcome (Not Released, Not Attended, Not Done).
  • If the action is a Hold Point, choose either Released or Not Released
  • If the action is a Witness Point, choose either Attended or Not Attended.
  • For all other actions choose either Done or Not Done.

Nota

You can update the review outcome multiple times. Each time you add an outcome, the previous outcome is added to the history of the review action.

Add records to an activity

Add inspections and documents as evidence of your review in an activity.

1. Click the three dots menu for the activity and select View or Add Records.

2. Click Add and choose from the following record types:

Inspections > Create Inspection

  • Choose an inspection template. You can search for an inspection template by title, or filter by category.
  • Click Next to enter the basic details of the inspection such as the Title, Assignee, Notes, and Due Date.
  • After adding the inspection you'll find it on the View or Add Records screen. You can click it to edit it and fill it out. 

Inspections > Link Inspection

  • Choose an existing inspection to add to the test plan.
  • You can search or filter for an inspection. Only one Inspection can be linked at a time.
  • Click Link.
  • After adding the inspection you'll find it on the View or Add Records screen. You can click it to edit it and fill it out. 

Attachments 

  • Select or drag and drop files from your computer. The maximum size per file is 50MB.
  • You can attach up to 10 documents from the Document Register.
  • Once all the files are added, you can add a description/comment to each file. You can delete a file that is not required.
  • Upon saving, the files will be added to the activity and categorized as media (images and videos) or files (any other file type).

Mark an activity complete

As a Manager (or Approver) you can complete an activity that is in review.

  1. Check the details of the activity and the supporting evidence to ensure the activity has been completed to an acceptable standard.
  2. Make sure the appropriate reviews have been completed. You cannot complete an activity if a hold point has not been released. You can still mark an activity complete if any other review outcomes are negative or incomplete.
  3. (Optional) If you want to override a hold point, from the three dots menu, click Review Activity and select the hold point to override. Click Hold Point Override. You must add a comment. You can also set an outcome for any other review activities that do not have an outcome.

Nota

The Reviewer assigned to a reviewer action has the final authority on the outcome. Even if a Manager or Approver sets a review outcome, the assigned Reviewer can update it as per their requirement, given that the activity is still in review. A Manager or Approver cannot change a review outcome that was already set by the Reviewer.
  1. (Optional) Add inspections or attachments as a record of your review.
  2. Click the three dots menu for the activity and select Update Status.
  3. Choose from the following options:
  • Click Complete to mark the activity as completed. You can provide an optional comment. The status of the Activity changes from In Review to Complete.
  • Click Mark In Progress if you are not satisfied with the activity. You must provide a comment. The status of the activity changes from In Review to In Progress. Any reviewer outcomes are cleared and the activity will need to be reviewed again.

Nota

You can update the status of an activity multiple times. Each change is recorded in the history.

Reopen an activity

Sometimes a Manager (or Approver) needs to update an activity after its been marked as completed. This may be due to additional work identified, human error, changes in the activity requirement, or some updates in the prevailing rules and regulations.

  1. Click the three dots menu for the activity and select Reopen.
  2. You must enter a reason for reopening the activity.
  3. The status of the activity changes from Complete to In Progress.
  4. Any additional work can now be performed by the Assignee.

View status changes in the event log

All status changes of an activity are captured in the event log for each activity. Anyone with access to the test plan can view the event log.

  1. Click the three dots menu for the activity and select Event Log.
  2. You'll see all status change events for the activity. To see all other events related to the activity, you can view the test plan event log.
