Test Plans on Mobile

Manage your test plans and activities on the jobsite.

View and manage your test plans and activities directly from your mobile device, using Oracle Aconex Mobile. Data is seamlessly synced between mobile and the web applications to keep everyone updated. After a test plan has been activated, the participants in the test plan are required to follow the instructions in each activity and complete their work. Once all activities are completed, the test plan can be submitted and closed.

Note: You cannot see draft test plans on Mobile. Draft test plans must be edited and activated from the web application.

Note

Test Plans is currently only available to projects on the KSA1 and MEA Aconex instances. We'll continue to develop features based on feedback and announce availability for other Aconex instances at a later date. Make sure you subscribe to Release Highlights to be notified.

Search, filter and sort your test plans

  1. Log into Oracle Aconex Mobile, and select your project.
  2. Tap Test Plans.
  3. You'll see all test plans created by your organization, shared with your organization, or where your organization is a participant (Approver, Manager, Reviewer or Assignee). The following details are visible for each test plan:
  • Number - A system generated test plan identification number.
  • Name - Name of the test plan.
  • Manager - User or organization who is named as a Manager on the test plan.
  • Status - Current status of the test plan.
  • Progress - Percentage completion of the test plan.
  • Location - Location (or area) of the test plan
  1. Use the search field to search for a test plan number or name.
  2. Tap on the filter icon to refine the list. You can filter by:
  • Manager - Multi-select field to find the test plan managed by selected users or organizations.
  • Location - Toggle switch to include or exclude child areas in when displaying test plan.
  • Status - Multi-select field to find the test plan that are in selected status.
  • Category - Multi-select field to find the test plans belonging to selected categories.
  • Shared Test Plans - Enable this to include test plans that were shared by other organizations.
  1. Tap on the sort option to refine the list by:
  • Test Plan Number - Sort the test plans by test plan number in either ascending or descending order.
  • Status - Sort the test plans by status.
  • Date Created - Sort the test plans by created date.

View test plan activities

  1. Tap a test plan to view its details. The first section is expanded by default so you can see its activities. 
  2. Tap on any section to expand and view its activities. The previous section will be collapsed.

Note

Collapsed sections display a colored progress bar, where each color represents the status of an activity in the section. This helps you see the progress of your test plan at a glance. You'll see a green tick if all activities are complete.
  1. For each activity you'll see its number and description. You'll see additional information depending on the status:
  • If the activity is Not Started or In Progress you'll see the Assignee and the number of hold points (if any).
  • If the activity is In Review and it has a hold point, you'll see the reviewer and an icon to show the hold point status:
    • Grey icon - The reviewer has not responded to the hold point.
    • Green solid icon - The hold point is marked as Released.
    • Green outline icon - The hold point was overridden by a Manager or Approver.
    • Red icon - The hold point is marked as Not Released.
  1. Tap on the filter icon to refine the list by:
  • Assignee - Multi-select field to find the Activities assigned to selected users or organizations.
  • Reviewer - Multi-select field to find the Activities assigned for review to selected users or organizations.
  • Status - Multi-select field to find the Activities that are in selected status.
  • Reviewer Action - Multi-select field to find the Activities where selected Reviewer Actions are configured.
  1. Tap on the sort option to refine the list by:
  • Activity Section - Sort the test plans by sections and activity numbers in ascending order.
  • Status - Sort the activities by status.
  1. Tap on an activity. You'll see the overview screen including the description, acceptance criteria, method, frequency, reference documents, record requirements, and reviewer actions.
  2. Tap Records to see the records added as an evidence of the performed task, such as inspections and documents.
  3. Tap Event Log to see the status changes of the activity. To see all other events related to the activity, view the test plan event log in web application.

Add inspections to an activity

Before starting an activity, the Manager or Approver may want to schedule the required inspections before the Assignee starts working on the activity. 

  1. To add an inspection, tap the Records tab of the activity and tap Add Records.
  2. Add the required inspections to the activity.

Start an activity

  1. Tap on the activity you want to start.
  2. Tap Start Activity at the bottom of the screen.
  3. The status of the activity will change from Not Started to In Progress. If this is the first activity that was started in the test plan, the status of the test plan will also change from Not Started to In Progress.

Note: You cannot start an activity if there are unreleased hold points in a previous activity. The hold point must be released before you can start the next activity.

Add records to an activity

Add inspections and documents as evidence of the work you've done in an activity. 

  1. Tap the Records tab of the activity.
  2. Tap Add Records.
  3. Choose from the following record types:

Inspection

  • Choose an inspection template. You can search for an inspection template by title.
  • Fill up the inspection and save it.

Documents

  • Attach up to 10 documents from the document register.
  • Once added, you can add a description/comment to each file.

Photo or Video

  • Use your device camera to capture photos (up to 10 MB) and videos (up to 50 MB) or add them from your gallery.
  • Once added, you can add markups to images, edit the file name and add a description/comment to each file. 

Files

  • Attach files from your mobile device.
  • Once added, you can add markups to images and PDFs, edit the file name and add a description/comment to each file. 

Mark an activity for review

Once you've completed work on an activity, you can mark it for review.

  1. Tap on the activity you want to mark for review.
  2. Tap Mark for Review at the bottom of the screen.
  3. The status of the activity will change from In Progress to In Review.

Review an activity

As the Reviewer for an activity you'll need to check the details of the activity and ensure the work has been completed as expected. You can update the review outcome multiple times. Each time you add an outcome, the previous outcome is added to the history of the review action.

  1. Tap the activity you want to review.
  2. (Optional) Tap the Records tab of the activity and tap Add Records to add supporting records (inspections or attachments) as part of your review.
  3. On the overview tab, tap the reviewer action assigned to you.
  4. Select an outcome for the review. You must add a comment if you choose a negative outcome (Not Released, Not Attended, Not Done).
  • If the action is a Hold Point, choose either Released or Not Released
  • If the action is a Witness Point, choose either Attended or Not Attended.
  • For all other actions choose either Done or Not Done.

 

Mark an activity complete

As a Manager (or Approver) you can complete an activity that is in review.

  1. Check the details of the activity and the supporting evidence to ensure the activity has been completed to an acceptable standard.
  2. Make sure the appropriate reviews have been completed. You cannot complete an activity if a hold point has not been released. You can still mark an activity complete if any other review outcomes are negative or incomplete.
  3. (Optional) If you want to override a hold point, tap it from the overview tab and tap Hold Point Override. You must add a comment. You can also set an outcome for any other reviewer actions that do not have an outcome.

Note

TIP! The Reviewer assigned to a reviewer action has the final authority on the outcome. Even if a Manager or Approver sets a review outcome, the assigned Reviewer can update it as per their requirement, given that the activity is still in review. A Manager or Approver cannot change a review outcome that was already set by the Reviewer.
  1. (Optional) Add inspections or attachments as a record of your review.
  2. Tap Update Status at the bottom of the screen.
  3. Choose from the following options:
  • Select Complete to mark the activity as completed. You can provide an optional comment. The status of the activity changes from In Review to Complete.
  • Select Mark In Progress if you are not satisfied with the activity. You must provide a comment. The status of the activity changes from In Review to In Progress. Any reviewer outcomes are cleared and the activity will need to be reviewed again.

Note

You can update the status of an activity multiple times. Each change is recorded in the history.

Reopen an activity

Sometimes a Manager (or Approver) needs to update an activity after its been marked as completed. This may be due to additional work identified, human error, changes in the activity requirement, or some updates in the prevailing rules and regulations.

  1. Tap the activity you want to reopen.
  2. Tap Reopen at the bottom of the screen.
  3. You must enter a reason for reopening the activity.
  4. The status of the activity changes from Complete to In Progress.
  5. Any additional work can now be performed by the Assignee.

Submit a test plan

A Manager (or Approver) can submit a test plan once all activities are marked completed and all inspections within the activities are closed.

  1. To submit a test plan, open the test plan details and tap Submit at the bottom of the screen. 
  2. The status of the test plan will change from In Progress to Submitted.

Mark a test plan as in progress

If you submitted the test plan by mistake, or identified additional work to be done, you can change the status of the test plan back to In Progress

  1. Open the test plan details and tap Update Status at the bottom of the screen. 
  2. Select the In Progress status and provide a reason for moving the test plan back to In Progress.
  3. The status of the test plan will change from Submitted to In Progress.

Close a test plan 

An Approver (or Administrator from the Approver's organization) can close a test plan once it's been submitted. 

  1. Review the test plan and activities and ensure they are completed per your requirements.
  2. Tap Update Status at the bottom of the screen. 
  3. Select the Closed status and provide an optional comment.
  4. The status of the test plan will change to Closed.

Note

If you are not satisfied with the test plan you can mark it as in progress. You must provide a comment.

Reopen a test plan

Sometimes an Approver needs to reopen a test plan. This may be due to additional work identified, human error, changes in the activity requirement, or some updates in the prevailing rules and regulations.

  1. Open the test plan details and tap Reopen at the bottom of the screen. 
  2. You must provide a reason for reopening the test plan. The status of the test plan will change to In Progress.
  3. The Manager can reopen the activity where additional work needs to be performed.

Edit a test plan

An Administrator or Associate can edit test plans that were created by their organization. You cannot edit a closed test plan. You cannot edit a completed activity. Only some details can be edited from the mobile app. Use the web application for full edit capabilities.

Change a test plan location

  1. Tap on the test plan you want to edit.
  2. Tap the three dots menu at the bottom and select Test Plan Details. 
  3. Tap on the location field and select the updated location.

Change the Assignee or Reviewer of an activity

You must have permission to reassign a participant based on your role. You can only change the Assignee if the activity is Not Started or In Progress. You can only change the Reviewer if the activity is not Complete. 

  1. Tap on the activity you want to edit.
  2. Tap on the Assignee or Reviewer field.
  3. Select the new Assignee or Reviewer for the activity. 

Export test plans

Similar to the web application, you can export up to five test plans at a time from your mobile device. 

  1. On the test plan list page, tap the three dots menu at the top and choose Select to Export.
  2. Select up to five test plans to be exported.
  3. Tap the download icon. The export process runs in the background so you can continue working.
  4. You'll receive an email notification that confirms which test plans exported and if any test plans failed to export.  Note: Make sure your email notification preference is set correctly. If you turn off email notifications in your user preferences, you will not receive any test plan notifications.
  5. To view the exported file(s), log into the web application.
  6. Click Documents from the main navigation menu and select Temporary Files. Each test plan is exported as a separate .zip file.

What happens when I'm offline?

Oracle Aconex Mobile lets you keep working even when you’re offline. While offline, cached data will automatically sync when you have a stable internet connection. If you explicitly log out without an internet connection, any cached data will be lost. Where possible, we recommend staying logged in at all times and syncing regularly to avoid this. If your login session has expired, you’ll just need to re-enter your password when you have an internet connection, and your data will sync.

Without an internet connection, you can access test plans and activities that you previously viewed while online, and perform the following actions:

  • Search and filter test plans and activities.
  • Add records (inspections and attachments) to activities.
  • Review activities.
  • Update the status of test plans and activities. Note: You can only change the status once when offline.
  • Edit details of test plans and activities.

Note: Test plan attachments on your device are removed after 4 weeks of not being accessed.
