Create contract changes from change events

You can automatically create contract changes (variations) from change events with items that link to contracts

Required permissions
Change Management: Change Events – Read, Update, Create, Delete
Change Management: Upstream Contract Changes – Read, Update, Create, Delete
Change Management: Downstream Contract Changes – Read, Update, Create, Delete
Execute/Approve permission is required to approve records

The contract changes are created and the values are kept in sync so any future changes on the change event are flagged as requiring an update to the contract change.
You can create contract changes from multiple change event items at the same time, even if the items belong to different change events, or if multiple contracts are impacted. 

Creating contract changes from a change event

  1. Update the status of the change event items to either Approved or Potential. Learn more about change event statuses
  2. Click Actions.
  3. Click Add to Contract Changes.

Creating Contract Changes

  1. In the wizard, select the change event items to create downstream contract changes and click Next.

    Only items that have a downstream contract pay item linked and haven’t already been linked to a contract change will be available.

    Note: If you are completing the process from the All Change Event Items tab, you can see items from all change events. Otherwise, on the main change events grid you will only see items from the selected change event.
  1. Select the change event items to create upstream contract changes and click Next.

    Only items that have an upstream contract pay item defined and haven’t already been linked to a contract change will be available. 

    Note: Selections will be automatically made on the upstream step based on selections made on the downstream step.
  1. Enter the contract change details, or select an existing contract change from the dropdown.

    Downstream change items are listed first, followed by upstream change items. You can create new contract changes or add to existing ones. 

    Note: For existing contract changes to be selected, contract changes must be in Preliminary, Submitted, or Proceed status. Contract changes in draft form or Approved/Withdrawn status, will not be available for selection.
  1. Validate the details are correct and click Add Items.

Consolidating change event items

Use the All Change Event Items tab to select multiple items and create contract changes for each contract. This method is typically used when you need to:

  • Add multiple change event items that relate to a single contract pay item.
  • Complete month-end processes where multiple change events are consolidated into a single contract change.

For example, if you have a month-end process to collect all downstream change event items from multiple change events, that affect a single contract. This can all be performed in one step, instead of requiring separate contract changes.

Multiple change event items
If multiple change event items are selected from the same change event, and they all relate to the same contract:

  • A single contract change is created.
  • A contract change item is created for each change event item.

If multiple change event are items selected from different change events, and they all relate to the same contract:

  • A single contract change is created.
  • A contract change item is created for each change event item.
  • The contract change pay items will link to each respective change event.

If multiple change event items are selected, and they relate to different contracts:

  • A separate contract change is created for each contract.
  • A contract change item is created for each change event item.

Default behaviour for new contract changes

  • The Contract Change No. is automatically generated as the next available number but can be edited.
  • If the change event creates a new contract pay item, the Pay Item No. is automatically generated but can be edited.
  • The ETC (FCC) drawdown is copied from the change event to the contract change but can be updated afterward if required on the contract change grid.
