Viewing and editing MS Office documents in Aconex

Open and edit Word, Excel and Powerpoint files from the Document Register in Aconex, without having to download them.

Using MS Office Online

Although MS Office Online is a free integration, you must have an Office 365 subscription to edit files. You can use it with Office files in the Document Register, but can’t be for reviewing in the Workflows module. Org Admins have to grant the Use office online permission for user roles to be able to use this feature.


Editing and superseding drafts

You can view and edit files with the following extensions:

  • doc/docx
  • xls/xlsx
  • ppt/pptx

Note that while you can open doc, xls and ppt files in their original format for reading, however, if you edit a file, they are saved as docx, xlsx and pptx files.

Drafts for Office documents are shared across users within the organization. Multiple users can edit MS Office files at the same time (co-authoring), and all their changes are visible in the draft being created. Drafts have the same access permissions as the original document. Editing is allowed only on the latest version of a document. If a draft already exists, editing is only allowed on the draft version.

Superseding using a draft is only possible if no one else is actively editing it. Once a draft file has been used to supersede a document, the draft will be deleted.

Tip!

If you're using Google Chrome, note that pop-ups are blocked by default and have to be enabled in your browser to use MS Office Online.

Viewing a file

  1. From the Document Register, click more options (three dots menu) on a document and select Open in Office Online.
  1. The first time you open a document you’ll be asked for permission to view in Office Online. You’ll also need to agree to Microsoft’s terms of use and privacy statement.
  1. Next, you’ll see a view of your document within Aconex.
  1. To start editing select the Edit in Browser button.

Editing a file

Once you’ve selected Edit in Browser, enter your Office 365 login details.

You should now be in the Office online, and can view and edit your document. Remember that other users with access to the document can edit it at the same time. 

Once you’re finished editing, save the file and return to Aconex. Once you’ve finished editing, you can supersede the document with your edits or save changes to a draft and continue editing over multiple sessions. When you’ve finished, you can supersede the updated file, which then becomes the latest revision of the document.
