Share your report

Share your custom report with others in your organization, other project participants, or across all projects you have access to.

  1. From the navigation menu select Insights > Reports
  2. Click the Custom tab
  3. Hover over a report and from the ellipsis menu, click Share.

Tip!

Only custom reports can be shared. Want to edit or share a standard report, or a report shared with you by other users? Open the report and click Save As to save a copy of the report. You can then edit and share the copy with others (based on your access permissions).

  1. Select who you want to share the report with, based on your access permissions. Choose from the following options:

Private (for you only): The report is private and viewable only to you.

  • Requires minimum access permission to Create New Private reports. 
  • Newly created reports are viewable only to you on the current project by default.
  • Can be shared across multiple or all projects you have access to by selection.


Project Organization (people in your organization):
The report is viewable by all users in your organization involved in the current project.

  • Requires minimum access permission to Create Project Org reports
  • The report can be edited and managed by users in your organization involved in that project that have minimum permission to Create Project Org reports.
  • Can be shared with users from your organization across multiple or all projects you have access to by selection.
     

Project (people in all organizations): The report is viewable by all users in all organizations on the current project.

  • Requires access permission to Create Project reports.
  • Only the user who created the report can edit and manage it.
  • Cannot be shared across projects.
  1. Click Save and you’ll see a confirmation message.

 

Considerations when sharing reports across projects

Your report results may vary depending on how the attributes are set up in each project. Below are some examples of when this can occur.
 

  1. The same attribute has a different label on the other projects.
  • The attribute label will display based on the project the report was originally created and shared from.
  • The attribute values will display based on the project you are running the report from.
  • Filter labels and values will display based on the project you are running the report from.
     

In the example projects below, the attribute 'Tag' has different a label and values in the project the report was shared with. When viewing the report in Project B, the labels and attributes will display differently as shown.

The report will display labels and values in the two projects as below:

2. Attributes used in the report are missing from the projects you have shared with

  • The attribute label will display based on the project the report was originally created and shared from.
  • The attribute values will show no data in projects where these attributes are missing.
  • Filter labels will display based on the project you are running the report from. Filter values will be empty.


3. A subject area used in the report is not available in the project you shared with. The report will display empty results for those attributes.


4. Default filter values will remain selected in the project you shared with, but only if those values exist in that project.
In the below example let's say we set values A1, A2, and A3 as default in project A.
However, of these filters, only A1 and A2 exist in project B (the project the report was shared with), so only those will remain set as defaults in the report for that project.

If none of the values exist on the project you shared with, then ‘All’ will be used as the default value.
