Oracle Aconex Field helps you manage on-site inspections, reports, issues, documentation and more. It's specifically designed to keep you and your team organised and on schedule with whatever project you're working on.
So how does it all work? Let's get started.
Create structure and consistency in your inspections. With Aconex Field, you can create your own library of inspection forms to suit you and your processes.
Then, when you’re out in the field, you can use them to raise issues during QA check, hazard observations, or whatever else comes your way. It's collaboration in real-time.
Issues are easy to create and can include multiple photos. You can mark up photos with any extra information you like. Plus, when you create issues from a drawing, you can ‘pin to plan’ so that it’s easy to see exactly where the issue is.
Once you’ve created an issue, you can assign it for resolution.
Sub-contractors will see an up to date list of all the issues assigned to them via the mobile or web app, so those all-important fixes don’t get overlooked, keeping you on time and on track.
There’s no separate paperwork to file – use the mobile app to capture issues while you’re out in the field, and the data will sync with the project in Aconex when you next open the app and have a data or WiFi connection.
Aconex Field includes project-level reporting, so you can identify and act upon risks and red flags as early as possible.
Keep the site diary up to date with Daily Reports. With tracking on daily activities and conditions, you can stay across your site progress and activity.

What is Field?

Working with other organizations? It's easy to add them in Field.
Today we're adding users to our Field project.
Not all project users need to use Field; you can keep things tidy and only invite the users you need. After we've added users from our own organization, we'll add other organizations, and decide how we interact with them.
Before you start, you need two things: <pause> You need to be a Field Admin to see the right settings, and <pause> you need to already have invited your users and organizations to the project. Choose the Field menu and Settings.Here are all our organization's users who've been added to Field in this project. Let's add another.
Type the first user's name and select them from the filtered list.
If the user doesn't appear, they either need to be added to Field in this project, or they've been hidden from the project. If hidden, the Project Admin from the project-owning org can unhide them.
Now they're in Field, let's assign them roles.
Field has three main function roles, each with different permissions.
An Observer is the basic role. Observers have read-only access to issues and inspections created or assigned in your org. Observer roles are usually given to clients and users who need to generate reports.
Next is Assignees. They have the permissions of Observers but can also mark issues as done. Typically, we give tradespeople and subcontractors the Assignee role.
Finally, we have Inspectors. They are the head contractors and architects who raise issues and inspections and assign them to be fixed. They close the issues once the work is complete. Inspectors can also do anything an Observer or Assignee can do.
Earlier we mentioned being a Field Admin. Admins look after the set up and configuration.
You can make Assignees and Inspectors into Field Admins. This lets them add and remove users. While not all Assignees and Inspectors need to be Fields Admins, we recommend you have more than one so an admin's always available.
Then, your Project Admin can do everything we've talked about and more. They setup the Field configuration including areas, issue types, and inspection templates. Project Admins are also the only ones who can assign Field roles to users in other organizations.
Let's make this user an Inspector and Field Admin. We'll leave the daily reports role alone for now.
Now we've added our users, let's add organizations we want to work with.
As with adding users, start typing the org name and select it from the filtered list.
Here we give the organization permission to assign and share inspections and issues.
Assign issues for them to fix, and mark as done.
Assign inspections for them to complete.
Share issues to give read-only access for all issues your organization captures.
And, share read-only access to all your organization's inspections.
We've given this organization full permissions, but others may only need to fix issues or view inspections.
Finally, we link in the organization's users. Each organization needs at least one user. Admins can add more users, but it's easier to add them all now.As your projects change, it's easy to change a role, a user or an organization. Once all users have been added with appropriate roles, your inspectors can start capturing and assigning issues.

Add users to Field
Today we'll add a new issue in Field.
We use issues to capture and track what we find during inspections, and each issue has a status telling us what stage it's at; and who it's assigned to. First we'll capture an issue on our mobile app, then we'll see how to capture one on the web.
OK, starting with the mobile app. From the home screen, we tap Issues.
Here are all the issues our organization captured on this project. We also see issues assigned or shared by other organizations.
First, we'll select the location we're working in. Today we're on level one; standing on the staircase. There's a light switch that hasn't been installed correctly. We have some issues already captured for this area. Let's quickly check if anyone has captured the light switch.
OK, we need to add it.
For this issue, we need Defect as the issue type.As we start typing the description we see suggestions to pick from. Our Project Admin sets these up. If a match doesn't appear we can type in the details manually.
On this project, this is the only mandatory field, so we can finish here. But let's enter more details about this defect, so it's easy to find and fix. We'll take a photo of the issue and draw a circle around the fault so it's clear what the problem is.Location details help others find which light switch in this area. Just like before, as we type there's a list of pre-defined locations.
We'll select who needs to fix the issue. And when it needs to be fixed by.
Let's give them 1 week. And we're done. Here's the issue with its status as Open, and the assignee. They'll see this in their open issues too, so they can start work right away. We can tap an issue to make changes, or add another one.
The process on web is much the same.
In Aconex, from the top menu, we select Field and click Issues. As before here are all the issues our organization has captured and been assigned or shared. We can filter to find issues we created. Select an issue to make a change <pause> and add a new one here. The process is the same as we saw on mobile.
Congratulations, you're now ready to create and assign issues.
Add an Issue
Let's view our issues list, and update an issue that's been assigned to us.
Often we'll update issues onsite with a mobile device, so we'll start on Mobile, then repeat it to see how it's done on the web.
On our mobile device, we tap Issues. Here are all the issues our organization has captured for this project. We also see issues assigned or shared by other organizations.
To narrow the results, let's select the location we're working in now.
Here are the issues for this staircase. Later, as we move through the worksite, we can select those locations in turn.Let's filter to find the issues we need to work on.
Here's a issue for a broken light switch. We've just fixed it, so we'll tap the issue to update it. Let's add a photo to show the completed work.<pause> And add our comments.
Then we set the status as Work Done. This alerts the organization that created this issue that its now Ready to Inspect. They'll Close the issue once they've checked and approved the work.
If we, or the organization that created the issue, encounter a problem, we can set the status as In Dispute to prompt an investigation. We need to add notes and photos to anything in dispute to show why we chose the status.
That's it for Mobile; now let's see our issues on the web. In Aconex, from the top menu, select Field and Issues. As on Mobile, we'll see all the issues our organization has captured and been assigned or shared.
We can filter, as before, to find our issues. Here's the one we just updated. Clicking the pencil icon puts it in edit mode. We can make changes, and press Save when done. If we need to update the status, we'll click the menu button, next to the pencil.
Congratulations, you're now ready to work through your issues list.
Update an Issue
Today we'll start a new inspection in Field.
Inspections provide structure for site inspectors to complete their work using either checklists or PDF forms. First, we'll start a checklist on our mobile app, then we'll see how to complete one on the web.
OK, starting with the mobile app. From the home screen, we tap Inspections. Here are all the inspections our organization created on this project. We can also see inspections assigned or shared by other organizations.
Today we're doing a safety inspection for a crane. We'll leave the location at the top level. We tap add, to select a template to work from. These are set up and grouped by our Project Administrator. Here's the Crane Inspection we need.
A blank checklist opens with the details that we need to fill in.The status is 'Not Started', but it changes to 'In Progress' as we start entering the details.We're inspecting this crane ourselves so we can skip the assignee and due date.
Some fields require a written response. And others require a pass or fail. Each inspection has different fields depending on how the project admin has configured them.
We've found a problem with the hydraulics so let's raise an issue for it. We can complete the details later. We can also attach photos or documents and include comments about our decision here.
OK. Let's sign it off, and tap save. It's showing 100% completion, so it's ready to be closed.
Some inspections are set up using a fillable PDF form. These are used to match existing paper forms. Here's one that's been assigned to us. The process is much the same. We tap through and complete the details in the form.
So that's the process for the Aconex Mobile app. Now let's jump into Aconex web. From the top menu, we select Field and click Inspections. As before we see all inspections our organization has captured, been assigned or shared. We can filter to find inspections we created. Select one to make a change, and add a new one here. The process is the same as we saw on mobile.

Today we'll look at some of the reports available for Field.
First up, let's see how our issues are tracking. From the Field menu, select Issues.
There's a summary at the top here, and we have a few options for exporting the details, as a report. We can filter for a specific status or type, or just export all issues. Let's filter our organization's open issues. We'll export this to CSV to review later.
Next up are our Inspections. Let's see how they're doing. Under the Field menu, we'll select Inspections. Let's just export our Open inspections, this time. These two reports should cover most of our needs.
But, if we want more detail, we can head over to Reports; found under the Insights menu. We've got some great standard reports for Field here.
We'll start with the Field Issues report. Let's export this to PDF and review it later too.
Now let's go back to the standard report list and run the Field Inspections report. Again, we can choose which format to export it to. We can also customize the reports to capture and arrange the data to meet our needs.
