Update your users' details in the Lobby

Lobby administrators can add users and link them to organizations, change their username and email address. And, if needed, disable a user's Lobby account.

View all users

  1. Sign in to the Lobby at constructionandengineering.oraclecloud.com.
  2. Choose Organizations from the main menu.

Tip!

You must be a lobby administrator of at least one organization to see the organization directory.

  1. Click View All Users from the top of your Organization Directory. Note: If you want to view Aconex users who have not yet created Lobby accounts you must do this one organization at a time. Click View Users next to an organization to view both Lobby and Aconex users for that organization.
  2. From here, search all users across all organizations you administer. You can search and filter this list by the user's name, organization and status.

View linked accounts for a user

Click the name of the user you want to view. You will find their linked accounts listed under their user details. If there are no linked accounts you'll see a message confirming this.

Link an Aconex user to an existing Lobby user account

  1. Sign in to the Lobby and choose Organizations from the main menu.
  2. Click View Users next to an organization to view both Lobby and Aconex users for that organization.
  3. Select the Lobby account you want to link an Aconex account to.
  4. Click the three dots menu and choose Link Aconex Account.
  5. From the dropdown list, choose the Aconex account to be linked to the selected Lobby account.
  6. Click Link. You'll see a confirmation message that the account was linked. You can unlink the account if you made a mistake.

Tip!

Need to link lots of users? Use the Batch Onboarding process to link single users or in batches up to 500. You can also use this process to create Lobby accounts for Aconex users.

Link a shared Aconex account to multiple Lobby accounts

This process is the same as linking a single account described above. The only difference is you'll select two or more Lobby accounts to link.

Before you start you'll need to grant the secured asset Allow linking to multiple Lobby accounts to the Aconex account that you want to link. You'll only be able to select an Aconex account that has this secured asset granted.

  1. Sign in to the Lobby and choose Organizations from the main menu.
  2. Click View Users next to an organization to view both Lobby and Aconex users for that organization.
  3. Select the Lobby accounts that need access to a single Aconex account. Use the search field to find users if required.
  4. Click the three dots menu and choose Link Aconex account.
  5. From the dropdown list, choose the Aconex account you want to link to the selected Lobby accounts.
  6. Click Link. You'll see a confirmation message that the account was linked. You can unlink the account if you made a mistake.

Tip!

You cannot link accounts from the View all Users screen.

Unlink an Aconex user from an existing Lobby user account

  1. From the View all users screen, click a user's name to see linked Aconex accounts. Use the search field to find users if required. 
  2. Click Unlink for each Aconex account you want to unlink.

Tip!

You can unlink accounts from both the View all Users and View Users screens.

Change a user's username and email address

  1. On the view all users screen, search for the required user. You can search using their name or email address.     
  2. Click the edit icon at the end of the user's row, and choose Change username.

Tip!

You can only change the username for Lobby accounts who have access to Aconex projects only. If you need to change a username that has access to other applications, such as Primavera Cloud please raise a service request.

  1. Enter the user's new username. It must be a valid email address. If the user signs in with SSO it must match the username in the corporate identity provider.
  2. Click Update to confirm the new username.
  3. The user will be sent an email to both the old email address and the new email address to confirm the change.

View a users home organization

  1. On the view all users screen, search for the required user.
  2. The home organization is shown for each user.

Move users to another organization

Note: you need to be a Lobby Admin for both your current organization and the users' destination organization.

  1. On the view all users screen, search for the required user. 
  2. Select the user you wish to move and click Change Home Organization. You can select multiple users to move.
  1. Choose the destination organization and click Update.
  2. Review the changes you're making and click Update to confirm they're correct.

    The moving process may take a few minutes if you're moving a large number of users.

Disable a Lobby user account

Disable an account when a user leaves your organization or no longer needs access to Aconex and other Smart Construction Platform applications. A disabled account remains in the Lobby and can be re-enabled if the user requires access in the future. You can disable your own account, but only if there is another active Lobby administrator in the organization.

  1. From the View all users screen, select the user(s) you wish to disable. Use the search field to find users if required.    
  2. Click the three dots menu and select Disable.

How do I unlock a Lobby account?

A user's account becomes locked if an incorrect password is entered more than five times. The user must reset their password to unlock and access their account. They will receive an email with a link to do this.

Alternatively, as an Admin, you can unlock the account from the user details screen. Select the locked Lobby account, click the three dots menu, and select Enable.

How do I reset two-step verification (2SV) for a user?

Reset 2SV for a user in your organization if they've got a new device or authenticator app, or their device is lost or stolen. Two-Step Verification is sometimes referred to as Multi-factor Authentication (MFA).

  1. From the View all users screen, find the user you want to reset 2SV enrolment for, and select the checkbox next to their name.
  2. Click the three dots menu, select Reset, and choose Two-Step Verification
  3. The user will now be able to sign in and set up 2SV on their new device or app.

Reset a user's password

If a user in your organization is unable to reset their password, you can send them a password reset email.

  1. From the View all users screen, find the user you want to reset the password for, and select the checkbox next to their name.
  2. Click the three dots menu, select Reset, and choose Password
  3. The user will receive an email with a link to reset their password. If they are still unable to access Aconex, please contact Oracle Support.
