Creating a Package review template

Package Review Templates can be set up and saved, this saves you time and standardizes your review processes.

Create/edit a workflow template

Templates are used to define how your packages will be reviewed and who will review them. You can reuse templates so you don't have to set up the review process each time you want to review a package.

Templates take a few minutes to set up, depending on the number of steps required. 

Once created, you'll choose template when starting a review and, if required, you can make edits before you proceed with the review. For example, you can add more steps and reviewers. 

There are two roles in a review: 

  • Initiator: the person who starts and manages the review process.
  • Reviewer: the person or people who'll review the package.

Creating a template

  1. From the main navigation menu click Packages, then select Manage Review Templates.
  1. Click Create Template
  1. This opens the template creation screen where you'll:
  • Enter a template name that reflects the purpose of the review.
  • Select the review outcome set. These are the choices that reviewers select from when completing the review, such as Approved, or Rejected.
  • Add steps and participants. The Step Name should contain the names of the roles performing the review. For example: Structural Engineers Review.
  • Set up the review’s duration. Remember to consider time-based factors such as contractual obligations.
  • Set permissions. Remember that these permissions are used to manage the review when this template is being used.
  1. Enter a name in the Template Name field. 
  2. Select a review outcome set. Click the blue text to preview the outcome labels.
  3. Click Add Step to add a new Step to the first Stage of the workflow. 

Tip!

Stages can have multiple steps within them, and each Stage must have at least one Step.

  1. The Add Step screen will appear. Give your step a name.
  1. Add one or more reviewers. Do this by entering their name or organization name to start creating a list to choose from, then click Add
  2. When you have added all your review participants, click Add Step.

Tip!

You can select a role of Lead Reviewer or Reviewer, but your selection currently has no impact. The Reviewer role will be promoted to the Lead Reviewer role when a Package Review is initiated. These roles currently do not have any effect on Package Reviews.

Setting a stage duration and outcomes

Use the Duration (days) field to set how long the review should take. You can also choose which outcomes reviewers can use in each stage.

  1. Click the pencil icon to edit the stage.
  1. Use the arrows or enter the number of days to set the duration.
  2. Select or deselect outcomes for this stage of the review.
  3. Click Update.

Add a stage

Add a new Stage by pressing the + button. Follow the same steps above to add steps to the new stage.

Setting permissions and activating the template

  1. Select what the initiator can change when using this template to start a review. For example you can allow them to change participants and durations, or just durations.
  1. Select what reviewers can see during a review that uses this template. For example you can allow them to see submissions from all users, or just users in their organization.
  1. Once you’ve finished creating the template, click Activate to save it and make it available to be used when starting a review

Editing a template

Once a template has been activated, it is added to a list of existing templates. If you want to edit it further, click its name and select Edit. Alternatively click the pencil icon for the template you want to edit.
