Create a document auto-numbering scheme

Design and build your document auto-numbering scheme.

You can choose to create your scheme using document fields, project fields, or a combination of both. 

If you cannot access document autonumbering, you may need to enable document auto-numbering on your project first. See the document auto-numbering overview for more information.

Step 1: Design your auto-numbering scheme

  1. Decide what document types you will apply an auto-numbering scheme to.
  2. Decide if you need to use Document Fields only, or if you also need to include Project Fields in your autonumbering scheme.
  3. Design your auto-numbering schemes.
  • You can apply the same scheme to all document types, or you can design separate schemes for different document types.
  • A document type can only be assigned to one document auto-numbering scheme.
  • When you’re designing your auto-number scheme you must include the Sequence Number field, and at least one other field. The Sequence Number is usually the last element in the scheme.
  • Make sure you only include single select list fields that have been enabled for your project in your design. The only single select Document field that can't be used is Status.
  • If you want to use a project field in your autonumbering scheme, you need to apply it the relevant document types, make the field mandatory, and enable codes. Codes can be enabled when editing the project field. If you miss one of these steps, the project field and/or document type won't be available for selection on this screen.

Step 2: Enable codes on your project fields

If you want to use a project field in your scheme it must be mandatory and codes must be enabled for it. Codes can be enabled when editing the project field.

  1. Click the pencil icon on a project field to edit it.
  2. Click Enable Codes.
  3. Enter a code for each value.
  4. Click Save.

Tip!

If you need to, you can add or remove project fields from the document type, or change the order.

Step 3: Create an autonumbering scheme

  1. From the main navigation menu, click Setup and select Project Settings.
  2. Click Documents from the left panel and click Document Numbering.
  3. Click Create Numbering Scheme.
  1. Enter a Name for your scheme.
  2. Choose the Sequence Number Length and what number it should Start At.
  3. Click Add Field to add fields in your sequence.
  • Use the dropdowns in each field to choose document fields, project fields and separators for your scheme. You'll see a preview of your scheme as you make changes.
  • If you want to use a project field in your autonumbering scheme, you need to apply it the relevant document types, make the field mandatory, and enable codes. Codes can be enabled when editing the project field. If you miss one of these steps, the project field and/or document type won't be available for selection on this screen.
  • Choose a character for each separator. The default separator character is a hyphen. You can also choose to combine two fields without a separator by choosing None.
  • Drag and move the fields around to create your desired sequence.
  1. Apply your scheme to document types using the dropdown under Apply this scheme to.

Tip!

If the document type list is empty make sure you've applied your project fields to your document types.

  1. Click Save.
