Edit an existing mail approval rule for your organization

As the Org Admin you can change or delete existing mail approval configurations.

Tip!

You can’t remove an approver when a mail approval is marked as Pending.

  1. Click Mail.
  2. Under Actions, click Mail Approvals
  3. Click the Configure Approvals button.

Tip!

Mail approvals can be set at an Organization or Project level, but only apply to your organization.  You cannot approve mail sent from other organizations.

  1. Click the Organization tab.
  2. To configure a mail approval for an additional mail type, read the Configure mail approval rules for users in your organization instructions.
  3. To remove a mail approval from a mail type, under Mail, Type, <mail type name>, click the Remove checkbox at the far right.

Tip!

If you see the word 'Pending' in the Remove column, you'll need to contact one of the Approvers to Approve or Reject the pending mail. Once all mail approvals are cleared you can then remove the configured mail approval.

  1. If required, change who is shown as the mail sender in the Marked as Sent By list. Choose either:
  • Created By – to have the author, not the approver, as the sender of the project mail (with a watermark detailing who approved the project mail).
  • Approve– to have the approver, not the original author, as the sender of the project mail (with a watermark detailing who prepared the project mail).
  1. To change the approvers for a mail type click the existing names in the Approvers list.
  • To remove an approver, click the Trash icon to the right of the approver name.
  • To add an approver, enter the approver's name and click the Find icon.
  1. Click the OK button.
  1. Click the Save button.
