Back up project mail to an external email address

Set an external email address to which all your project mail can be sent as a backup.

If you set an external backup email address for your project, Aconex will send mail to it as follows:

  • Incoming mail – to users in your organization on the project. The subject lines will include To: and From: fields, and (Aconex Inbox Backup).

  • Sent mail – from users in your organization on the project. The subject lines will include From: and (Aconex Sent Items Backup).

  • Confidential mail – sent to and from users in your organization on the project, provided you select this option in the preferences, as explained below. The word “CONFIDENTIAL” will appear at the end of the subject lines.

Tip!

Mail with attachments will be sent to the backup email address, but if the backup address limits attachment file size, mail with attachments over the limit will be rejected and won’t be saved in your backup.

  1. Click Setup on the Module Menu, and under Configuration, click Preferences.

  1. Click the Project tab.

  2. Scroll to Mail. There are two options here:

    • Email address where email can be sent as a backup.

    • Include confidential email in backup.
  1. For Email address where email can be sent as a backup, click on the checkbox in the far-right, Use Default Setting column, since you don’t want to use the default. 

  2. Then click in the field to the right of Email address where email can be sent as a backup, and type in the email address you want to use.

  3. For Include confidential email in backup, click on the checkbox in the far-right, Use Default Setting column, since you don’t want to use the default. Make sure the checkbox to the right of Include confidential email in backup is checked.
  1. Click the Save button at the top of the page to save the new settings. The backup starts once you save the new settings. Project mail that was sent before the settings were changed will not be sent to the backup email address.
