Update a document field label

Project-owning organizations can change document field labels, tooltips and translations.

Document fields help you capture information about the documents uploaded on your project. If you decide to use a new field on the project, you'll need to relabel it, so its clear to uploaders what the field is for. For example you may want to rename 'Select List 1' to 'Area'.

You'll need to have the Re-label Document Fields permission granted to your user role to perform this action. This ensures you can limit who can unlock the document field labels and update them. This permission is granted to Org Admins by default.

Important: Document uploads are blocked while document fields are unlocked for editing. Make sure you update them at a suitable time and remember to lock the fields after you're done.


Things to note:

  • We recommend you limit this access to a few users within your organisation. This helps you control standardization for project templates.
  • Remember to lock your fields after you update them.
  • Don't use special characters in field label names.
  • If you update a label in English, make sure you update both the United Kingdom and United States English labels (and the appropriate translations) to ensure all users see the correct label name.
  • Label names must be unique. You cannot enter the same label on multiple fields.
  • Some system fields such as Document No, Revision cannot be changed. They are shown in italics.
  • The Milestone Date and Planned Submission Date fields are used by the Supplier Document module.

  1. From the navigation menu, click Setup, and select Project Settings.
  2. Click Documents and select Document Fields.
  3. Click Unlock Field Labels. Keep in mind that uploading is now blocked for ALL users on the project while the labels are unlocked.
  4. Click the pencil icon on the field you want to relabel.
  5. Type the new label and press Enter on your keyboard. Remember not to use special characters.
  1. To ensure the label is correct in both US and UK english, click the three dots menu and select Edit Translations.
  1. If you updated a label in English, make sure you update both the United Kingdom and United States English labels (and the appropriate translations) to ensure all users see the correct label name.
  1. Click Update.
  2. Click the three dots menu and select Edit Tooltips. Enter the help text that will appear if users hover over this field. For example you could use 'Enter the area this document relates to'. If you updated a tooltip in English, make sure you update both the United Kingdom and United States English text (and the appropriate translations) to ensure all users see the correct tooltip. 
  3. Click Save.
  4. Click Lock Field Labels to allow users to upload documents on the project.

Supported languages for field labels

When editing a document field label and its translations, you can choose from the following languages/locales. Select the three dots menu and then choose Edit Translations to set the label text for any of these.
