Review and approve a test plan template

If an Associate publishes a template, it needs to be approved for use by an Administrator.

The template approval workflow ensures your project uses pre-approved templates for creating test plans. Approvals work both within and across organizations. The template can only be used for creating test plans once the Administrator publishes it.

Once an Associate publishes a template it will be sent to Administrators in their organization for approval. If there are no Administrators in their organization then it will be shared and sent to the Administrators of the project-owning organization for approval.

Test Plans is currently only available to projects on the KSA1 and MEA Aconex instances. We'll continue to develop features based on feedback and announce availability for other Aconex instances at a later date. Make sure you subscribe to Release Highlights to be notified.

Step 1: Send a template for approval

You'll need to be an Associate to follow these steps.
  1. From the main navigation menu, click Field and select Settings.
  2. Click Test Plans and select Templates.
  3. Create a Test Plan template and click Publish
  4. You'll see a message that it needs approval. Click Send Request. The status of the template changes to In Review.
  5. The template will be sent to an Administrator for approval.
  • If there are Administrators in your organization, it will be sent to them for approval.
  • If there are no Administrators in your organization it will sent to the Administrators from the project-owning organization for approval.

Tip!

Once the template is in review, you can not edit the template and it cannot be deleted.

Step 2: Review the template

Follow these steps if you are an Administrator who has received a template to review.

  1. From the main navigation menu, click Field and select Settings.
  2. Click Test Plans and select Templates.
  3. Filter the templates for the In Review status.
  1. Click on the template you want to review. 
  • Click Publish if you are happy with the template and there are no changes required. This makes the template available to create test plans. The approval process ends. 
  • If changes are required, you can provide feedback to the Associate by adding review comments. Click Request Update and add your instructions to the Associate. The status changes to For Resubmit and the template can now be edited by the Associate.
  • If you are in the same organization as the Associate that created the template, you can edit the template before you request changes or publish it. If you are in a different organization to the Associate that created the template, you cannot edit the template. You can only request changes or publish it.

Step 3: View the review comments

If the Administrator has requested changes to the template, the Associate can view the comments in the review log. The template can be deleted if it hasn't been published yet.

  1. From the main navigation menu, click Field and select Settings.
  2. Click Test Plans and select Templates.
  3. Click the three dots menu for the template you want to see review comments for and select Review Log.
  4. Make the required changes to the template and send it for approval once more by clicking Publish.

Tip!

The review log is only visible if the template is in review. The latest comment is at the top.
The approval process between the Associate and Administrator can continue multiple times, until the Administrator is satisfied with the template and publishes it.
