Manage a review in Document Processes

As a process owner track your deliverables, perform a QA check, add reviewers, skip steps, or terminate reviews.

With multiple documents in review, you'll need to monitor progress of your reviews and manage any roadblocks.

 

As the Process Owner you can:

  • View deliverables
  • Provide a QA Outcome
  • Check the status of a review
  • Add reviewers
  • Skip a step
  • Terminate a review

Tip!

Document Processes is currently only available to projects on the KSA1 and MEA Aconex instances. We'll continue to develop features based on feedback and announce availability for other Aconex instances at a later date. Make sure you subscribe to Release Highlights to be notified.

View deliverables

See all current and completed document reviews in the deliverables register.

  1. From the main navigation menu, click Document Processes and select Deliverables.
  2. Click Columns to display the information you need to manage your reviews. You can select from both document and project fields for a complete picture of information.

    The default columns in the Deliverables Register are:
  • Document (where you'll see the document's number, title and revision)
  • Current Status
  • Action with (displays the Organisation and Members)
  • Current status (In Review, Review Completed, Review Terminated)
  • Cycle (how many times the document has been reviewed)
  • Initiator (who started the review)
  • Open Issues (number of submitted issues)
  • Originators (who created the document)
  • Review Name (name of the review process. Subsequent cycles of the same document review may have different names.)
  • Review Outcome (shows as Pending until a review is given by the Lead Reviewer)
  • Step Due Status (the due date of the current step of the review)
  1. The Current Status column has a progress bar so you can see review progress at a glance. You can also filter by Current Status to only see documents in review. 
  2. Click the Step Due Status column heading to sort by ascending order. Click it again for descending order.

Provide a QA Outcome

After a review is started but before reviewers can begin adding comments, you'll need to check the document is the correct version for the review. 

  1. Navigate to the deliverables register.
  2. Filter the Current Status column by Submitted for QA to show all deliverables waiting a QA check.
  3. Filter the Action with column as yourself, to see QA checks that you need to perform. You can make this a saved search for easy access.
  4. Click on the document you want to check.
  5. Check the document is the correct version for this review. Note: The document is unlocked at this point so you can update the metadata or the associated file if you need to.
  1. Select the QA Outcome:
  • Choose QA Accepted to allow the review to proceed. The document is locked in the process owner's organization only. It can be unlocked by the process owner or anyone with unlock any document permission. The reviewers will receive a notification that they have a review to complete, where they can start adding feedback.
  • Choose QA Rejected and provide a reason why the review cannot proceed. A notification with your feedback is sent to the process initiator.

Check the status of a review

  1. From the deliverables register, search for the document you want to track.
  2. Click the document number to see more details about the review.

Tip!

If you'll use this search regularly click Save search so you can quickly access it. Your keywords, filters and sort order are all remembered in a saved search. A saved search is also handy to produce a regular report.
  1. The Progress tab, shows how many steps remain, along with the history of the completed steps .
  2. The Issues tab shows all feedback and comments raised by reviewers. 
  3. The Properties tab shows all details about the document such as the type, discipline, and status.
  1. To see all activity on this review click Actions and then click View Event Log.
  2. Click the arrows at the top to view the next deliverable, or click the back arrow to return to the Deliverables Register.

Add reviewers

You can add more reviewers (or lead reviewers) to current or future steps.

  1. From the deliverables register, search for the document you want to manage.
  2. Click the document number to see more details about the review. 
  3. Click Add Assignees on the step you want to manage.
  4. Type the name of the person you want to add to the step, and make them a reviewer or lead reviewer. You can add as many people as required.
  5. Click Add Assignees.

Add reviewers in bulk

You can add reviewers (or lead reviewers) to multiple steps at once. If you have multiple reviews stuck because someone is away you can quickly add additional reviewers (or lead reviewers) to those steps to allow the review to proceed.

  1. From the main navigation menu, click Document Processes and select Review Steps.
  2. (Optional) Use the filters to find the steps you want to add reviewers to. For example, you can filter by current and overdue steps that are assigned to a specific lead reviewer.
  3. Select the review steps to add the reviewer(s) to.
  4. Click Manage Review and choose Add Assignees.
  5. Type the name of the person you want to add to the steps, and make them a reviewer or lead reviewer. You can add as many people as required.
  6. Click Add Assignees.

Skip a step

You can skip current or future steps.

  1. From the deliverables register, search for the document you want to manage.
  2. Click the document number to see more details about the review. 
  3. Click Skip Steps on the step you want to skip.
  4. (Optional) Enter a reason for skipping
  5. Select the steps to skip
  6. Click Skip.
  7. Click Close. You'll see the step has the skipped status, and the review has moved onto the next stage.

Tip!

To skip multiple steps at once, click Actions and select View Steps. From here you can select steps and click Manage Reviews to skip them all.
