Change your organization's email domain

Best practices when changing your organization's email domain.

If your organization is changing it's email domain, this article will help you ensure your users can access Aconex with their new email address.

There are different steps depending on whether your organizations uses SSO or not.

Before you make any changes make sure you communicate with your organization so your users know what to expect. After the change, they will need to login with their new email address.

Organizations that do not use SSO

  1. Update each user's Lobby account email address following these steps. This is the email address they will log in with. 
  2. Once logged in, each user should also update the email address on their Aconex account(s). This is the email address where project notifications will be sent. You can do this for them following these steps.

Update email addresses in bulk

To update Lobby account email addresses in bulk you can submit a service request. Make sure you:

  • Attach a text file containing the old and new email address for each user separated by two colons. 
    For example:
    patrick.oleary@aconex.com::patrick.oleary@oracle.com
    sally.smith@aconex.com::sally.smith@oracle.com
     
  • Provide the date and time when you want the email addresses to be updated. You should give us at least 7 days notice so we can prepare for this change.

Note: Email addresses for Aconex accounts must be manually updated one by one. There is no bulk update option. Each user should update the email address on their Aconex account(s). This is the email address where project notifications will be sent. You can do this for them following these steps.

Organizations that will use their existing SSO configuration

  1. Choose a few users to test with.
  2. Update each test user's email addresses in your SSO system.
  3. Update each test user's Lobby account email address following these steps. This is the email address they will log in with. 
  4. Have a test user login to Aconex and make sure they are able to access their project.
  5. Update the email address for the remainder of your users.
  6. Once logged in, each user should update the email address on their Aconex account(s). This is the email address where project notifications will be sent. You can do this for them following these steps.

Organizations that will configure a new SSO application/environment

This process requires you to create the new identity provider in your Identity Domain. To test the new provider details are working you'll edit your existing IdP policy to include both your new and existing provider. After testing and you are ready to proceed, you'll remove the old provider from the IdP policy.

Choose a few users to test with first. We recommend conducting your test at a time when few users will be accessing Aconex.

Remember to communicate to all users about the change and what to expect.

  1. Add the new Identity Provider to your Identity Domain. You can reference this article which you used when you originally created your organization's Identity Domain.
  1. Click the Federation tab from the menu. Sroll down and click on your existing identity provider policy.
  1. Click Identiy provider rules. Click the three dots menu for your existing rule and select Edit IdP rule.
  1. Update the rule to include both the current and new Identity Providers and click Save changes

Important: Making this change to your IdP rule means ALL users in your organization will now be asked to select which Identity Provider they want to use to log in with. Make sure you have communicated what they need to select so they can login.

  1. Update each test user's email addresses in your SSO system.
  2. Update each test user's Lobby account email address following these steps. This is the email address they will log in with. 
  3. Ask the test users to login to Aconex with their new email address and select the new Identity Provider from the selection list. 
  1. Make sure the test users are taken to correct SSO login page and they are able to login and access their project. 
  2. If you are not ready to change all users yet, you can revert the test user's email addresses back and remove the second Identity Provider from your IdP policy. If you are ready to proceed to update all users you can now update the email address for the remainder of your users in your SSO system, and in the Lobby.
  3. Update your IdP policy rule to use the new Identity Provider and remove the old Identity Provider. 
  1. All users will now login with their new email address.
  2. Once logged in, each user should also update the email address on in Aconex. They need to do this for each of their linked Aconex accounts. This is the email address where project notifications will be sent. You can do this for them following these steps.
