Create packages

Group together a set of documents to make a package either singularly or in bulk.

Create a single package

  1. Click on the Packages module and select New Package.
  1. Complete the package properties section:
  • Select a Package Type from the dropdown menu.

  • Enter a Package Title. It can be alpha-numeric, containing up to 255 characters.

  • You need to enter a Package Number. It can be alpha-numeric, containing up to 210 characters.

  • Enter a Revision for the Package. This can be alpha-numeric, up to 15 characters.

Tip!

The package can be created as an empty container. The package administrator or editor can then add documents to it at a later stage.

  1. Click Select Parent if the new package should be part of a package hierarchy.
  2. Search for and click the parent package to select it. Click Select Parent.

Tip!

Package hierarchies must be enabled on your project to see the option to select a parent.

  1. Click Add Documents if you want to add documents to the package. If you’re not ready to add any documents, just click Save.
  2. You will be prompted to add documents from the document register.
  3. Select the documents you wish to include in the package, then click Add in the bottom right corner of the results.
  4. Click Save.

Tip!

You can only add one version of a document to a package. Note that the maximum number of documents per package is limited to 3000.

Create a child package

You can create a child package directly in the hierarchy.

  1. Find the package you want to add a child to. Click the three dots menu in the Action column.
  2. Click Add Child Package.
  1. The New Package screen will open with the parent package already populated.  If the parent package selected is not correct you can click to Change Parent or Remove Parent.
  2. Complete the remaining details for the package including the package fields.
  3. (Optional) Click Add Documents to add documents to the package as required.

Create packages in bulk

Instead of having to create packages one-by-one, you can easily create hundreds or even thousands of packages at once using the Create Packages in Bulk functionality.

This feature allows you to download a template, which you have to fill out and import back into the system.

Tip!

This is a very powerful tool - be careful while using it. As soon as Aconex has created the packages from your Excel file, which happens on the fly, there is no possibility of reverting that action.

  1. Open Packages.
  2. Click Package Management, select Create and then select Packages in Bulk.
  1. Click Download Template.
  1. Fill out the template in Excel.
  • You'll see a separate worksheet for each package type on your project.
  • Create a single line for each package you want to create.
  • Mandatory fields are marked in bold.
  • Nominate a parent package if the package to be created is part of a package hierarchy.

Tip!

If you forget to enter any mandatory information, or if the data is incorrect, or the package number already exists, Aconex will notify you when you try to create the packages.

  1. Save the template to your computer.
  2. Go back to Aconex.
  3. Drag and drop the template in the space provided. Alternatively, click Select a file or drop one here and select the template you’ve just filled out.
  4. Click Upload.
