This month all users will be automatically switched to the new enhanced upload. Plus, there's improvements for upload templates, standardized units for object properties in Models, and a new report to help admins manage project participants.

This release is for:

What's new

A new enhanced upload

  • In this release, all users will be automatically switched to the new enhanced upload.
  • This change provides a modern, intuitive flow for uploading, with flexible upload templates. It also lays the groundwork for future upload improvements – enabling multiple file types to be registered under a single document.
  • To support future improvements, we’ll retire the previous upload flows over the coming months. 
  • You'll be able to switch back to your previously used method for a limited time, until the previous methods are retired.

One template to rule them all

  • You no longer have to maintain separate templates for each upload flow.
  • If you're using the new enhanced upload, the upload template can be used in any available upload flow. For example, if you download a template from the Bulk Processing flow, you can use it in the Update Metadata Only flow.
  • This applies to Add or Update Documents Add or Update Placeholders, Bulk Processing, and Update Metadata Only.
  • Keep in mind the rules for each of the upload flows remain the same. For example, the file column will be ignored if you are creating placeholders, but is mandatory if you are updating documents.
  • This feature is only available for the new enhanced upload.

Choose the upload template for your project

  • Thanks to your feedback, Project Admins can now decide which upload template is used on their project.
  • By default, projects using project fields on document types have a multi-sheet template with a tab for each document type. Other projects use a single-sheet template with all available document fields and project fields in one sheet.
  • A new project preference allows you to choose the template for your project, regardless of other configurations. So, if you're using project fields on document types, you can switch your project over to the single-sheet template to see all available fields together.
  • Time saving features are available in either template, such as dropdowns for single-select fields, and populated filenames if you uploaded them.
  • The Metadata Template in Uploads and Bulk Processing preference only applies to the new enhanced upload.

Track versions in transmittal history

  • The Transmittal History by Organization report now includes the Current Version and Sent Version.
  • The Transmittal History by Document report now includes the Version Sent.
  • This helps you track exactly which versions of documents have been issued.

Review Microsoft Office files

  • It's here! You can now start a document process review for office files such as word, and excel. 
  • Pinning is not supported, but a general issue can be added to the issues list.

Manage negative outcomes

  • You asked for flexibility to handle negative review outcomes. You got it. 
  • When configuring each step of a review rule, you'll find the setting to complete the review on a negative outcome. This is available for both sequential and parallel steps.
  • As an example, this allows you to terminate a sequential review once a rejection occurs while allowing parallel steps to proceed.

Faster analysis with consistent units

  • Set standardized measurement units when exporting object properties to CSV. This helps you avoid manual conversions and reduce errors.
  • Once enabled, you can select a preferred unit for each measurement type. Then, all linear, area, and volume values are exported in your chosen units (Metric or US Customary).
  • Each column header in the CSV clearly displays the unit abbreviation, giving immediate context for downstream analysis and collaboration.
  • Your browser will remember your choices unless you clear your browser cache.

Manage your project users

A new Project Participant Report is available for Org Admins and Project Admins to help them manage project participants and identify active users. 

You'll need to have the Download Project Participant Report permission granted to your user role to run this report. Org Admins can view data for all projects owned by their organization, while Project Admins can only view data for the projects they manage.

The report contains:

  • Projects owned by your organization.
  • Organizations participating on your projects. This helps you identify organizations that may need to be archived on your projects.
  • A list of users participating in each of your projects. This helps you identify users that are hidden in the project directory.
  • A list of users participating on your projects who have accessed Aconex in the last 60 days.

Track inspection assignees

  • You can now identify and filter inspection assignees using the new columns Assigned organization and Assigned user.
  • The standard Field Inspection report has been updated to include these new fields.

Filter by custom date range

  • Thanks to your feedback, you can now provide a date range when filtering data in the report editor and schedule editor.
  • Previously this was only available when running the report.

What's new

Flexible template approvals for test plans

  • You let us know you needed more flexibility for template approvals.
  • Now, if an Associate publishes a template and there are no Administrators in their organization, they can select an organization to approve it. Previously only the project-owning organization was able to approve the template.
  • If you choose the wrong organization or make a mistake, you can withdraw your approval request and republish the template.
  • Test Plan Administrators (from the project-owning organization) can configure the list of available approvers in project settings.
  • To retain existing behaviour, the list of approvers contains the project-owning organization by default. You can remove the project-owning organization as an approver, but you must select at least one organization first.

Save time creating PDF forms

  • We've made it easier to create PDF forms for your inspections.
  • Previously when uploading a template, the system was unable to proceed due to duplicate field names.
  • Now, if duplicate names exist, the system provides an option to automatically correct the duplicates for you and create the form. 

View the event log for observations

  • An event log is now available to see who did what and when on each safety observation. This ensures legal compliance and aids investigation and dispute resolution.

Export test plans to Excel on the go

  • To align with the web app you can now export your test plans list to Excel from your mobile device.
  • Create and export progress reports quickly without manually copying data.
  • Share a filtered view of your test plans with stakeholders.

View a photo's location

  • Photos attached to a test plan activity now display the photo’s geo-location (if available in the properties screen).
  • This helps to find the exact location of the photo from the latitude, longitude, and map pin.

  • The read-only (viewer) permission no longer allows users to modify change event tags.
  • If you've updated ETC2 to match ETC1, the system now resets the ETC Efficiency Factor (whenever the Forecast Method is not ETC2).
  • The activity stream now records updates of configured manual fields and tags.

View tasks for all projects

  • The option to view tasks for all your projects is now available from the main project selector. You no longer have to navigate to the home screen to access this view.
  • While viewing the All projects screen, you'll notice the module menus disappear, as these features are specific to a project only. To view the module menu again, select a project from the list.

  • By default, disabled users are now hidden from your list of users. You can select the option to show disabled users if you need to.

These updates will be made available to all instances.

Release schedule

Features are gradually rolled out to each instance over a 30-day period, starting from the indicated dates below. You may not see all updates immediately. We can’t guarantee a global rollout of features across instances within the same timeframe. Oracle Aconex Mobile is updated in the fourth week of the month.
